How fast do shifts typically fill?

Accepted Answer

Most shifts fill within minutes when the driver pool has eligible candidates. Our matching cascades the offer to the top-ranked driver first (15-minute window to accept), then to the next, and so on. Even tightly-specified shifts (CPC required, specific area) usually find a driver in under 30 minutes if the pool is healthy.

What if no driver accepts?

Accepted Answer

If the cascade runs through every eligible driver and none accept, the shift goes UNFILLED. You can re-run matching with 'Try again' (sometimes drivers' availability changes), or repost it as a new shift — often with adjusted pay or relaxed requirements. We'll work with you to fill it.

How are drivers verified?

Every driver provides their driving licence, Right to Work documentation, DVLA check, and a CPC card if working 7.5t. Our team reviews each document before they can take any shifts. Documents are monitored for expiry; drivers and our team are notified before they lapse.

Who pays the driver — me or you?

Accepted Answer

We do. FlexiDriver issues each driver a self-billing invoice weekly for their approved timesheets and pays them by Bacs into their UK bank account. You receive a single weekly invoice from FlexiDriver (one per week, grouped by depot for clarity).

How does the dispute process work?

After the shift, you have 48 hours to approve or dispute the recorded hours. If you dispute, you submit your version of what happened (e.g. 'driver left at 13:30 not 14:00'); the timesheet is held; our admin team arbitrates with visibility of both versions and the GPS evidence; they issue a ruling (in favour of driver, in favour of client, or a compromise). The driver and you both see the result and the reasoning.

Can I block specific drivers?

Yes. Mark drivers as 'preferred' (priority matching for your shifts) or 'blocked' (never matched to your shifts). Blocking is private to your account.

How does VAT work?

Accepted Answer

You're invoiced with VAT at 20% on top of the net amount. The invoice includes our VAT number, a per-depot breakdown, and is HMRC-compliant. Drivers' self-billing handles their VAT (if they're VAT-registered) on their side — you're not involved in driver VAT.

What if my depot is in a remote area?

Accepted Answer

Drivers set their max travel radius from their base postcode. As long as drivers in your area are willing to travel to your depot, matching will reach them. We're currently strongest in [TBC — list of areas]; remote depots may have a smaller pool but matching will still cascade until a driver is found or the pool exhausts.

What's the agency margin?

It varies per client (typically £2–£5/hr on top of the driver's rate, or a per-shift equivalent). The margin is agreed when you onboard and shown on every invoice. No hidden fees, no per-transaction charges.

Do I need to sign a contract?

Standard terms of service apply (see /terms). There's no minimum commitment — you only pay for shifts you post. We do require client onboarding (a quick verification of your company) so we know who we're sending drivers to.
